Cold Room & Chiller Maintenance Basics for Small Businesses
If you run a dairy shop, bakery, restaurant, medical store, hotel, ice-cream outlet, godown or cold storage in the Haridwar area, your refrigeration is not just a comfort — it is your stock, and often your licence conditions. Most cold-room breakdowns are not sudden; they are the end of a slow decline that simple, regular checks would have caught.
Why maintenance is cheaper than breakdown
A breakdown of a commercial unit is rarely one problem. It is usually a small fault that was allowed to run — a refrigerant leak that slowly drained the charge, a condenser packed with dust that made the compressor overwork, a drain that backed up — until the compressor failed or you lost stock. Planned maintenance turns an expensive, disruptive emergency into a small, scheduled visit.
What to check daily
- Temperature. Read the unit's display or use a thermometer. For most food storage this is around 2–8°C (chilled) or well below 0°C (frozen). Write it down — a trend is far more useful than a single reading.
- Ice or frost on the evaporator coil. A light, even frost is normal. Thick, uneven ice is a warning sign of a defrost or airflow problem.
- Water pooling inside or around the unit, which usually points to a blocked drain.
- Unusual noise — rattling, knocking, continuous hissing, or a hum that sounds strained.
- Condensation forming excessively on the outside of the unit, or water dripping where there was none before.
What to check weekly
- Condenser coils. If the condenser is an outdoor unit, check that it is not packed with dust, leaves or debris blocking airflow. Restricted airflow makes the compressor run hotter and harder.
- Door seals and gaskets. Check the rubber around the door or the strip curtain of the cold room for tears or gaps. Warm, moist air leaking in is one of the biggest causes of high running costs and of icing.
- Drain lines. Flush or clear the condensate drain if your system has one, and confirm water flows away freely.
- Air vents inside the cabinet. Make sure stock is not blocking the evaporator air path. Cold air needs somewhere to go.
- Alarms or error codes. Reset them only after noting what they said.
What to check monthly and seasonally
- Clean condenser coils properly (more thorough than a weekly glance), ideally before peak summer.
- Check the refrigerant charge and pressures against expected values — a falling charge means a leak.
- Inspect electrical connections on the unit for looseness, heat marks or corrosion, and test the safety cutouts.
- Check that the unit is level and that door hinges and latches are secure.
- In hot weather, confirm the condenser has adequate clearance and is shaded from direct sun.
- For chillers, check the water circulation: pump operation, water level or flow, and strainers.
Warning signs that mean call a technician now
- Temperature drifting above your required range and not recovering, especially with stock at risk.
- Thick or rapidly growing ice on the evaporator coil, or water leaking inside the cold room.
- The unit is running constantly and still not holding temperature.
- Any burning smell, scorch marks, or the unit tripping its supply.
- Refrigerant or oil stains forming around the pipework (a likely leak).
- Grinding, knocking or violent vibration from the compressor or fans.
- The unit has stopped completely.
In a genuinely urgent situation — stock spoiling — call us directly rather than waiting for a booking form response, and mention what the unit is storing so we can prioritise correctly.
Does an AMC make sense for you?
If you depend on refrigeration for your business, an Annual Maintenance Contract usually pays for itself. It typically bundles scheduled preventive visits, priority breakdown response, and defined service charges, so a breakdown does not turn into an open-ended cost. It also means the small faults get found during a planned visit rather than at the worst possible moment. For a single home unit, paying per visit is usually more sensible; for a shop or cold room running its stock, an AMC is usually the better choice.
